Description of the Record-Keeping Process: We keep LTP & Digital Media archival for all records.
Types of ID Documents Collected: Government Approved ID & Address Proof Like - Pan Card, Passport, Aadhar Card, Driving License
Verification Methods: We conduct manual KYC (Know Your Customer) checks to verify the authenticity of Aadhar cards.
Storage and Maintenance Procedures
Method 1: Local Storage
Storage Method: Original copies are stored in a physical location.
Security Measures: Records are kept in a locked file cabinet within a secure, access-controlled office. The office is equipped with an alarm system and surveillance cameras.
Maintenance: Records are reviewed and updated monthly. Physical checks are conducted to ensure the integrity and security of the storage area.
Access Control: Only the compliance officer and one designated staff member have access to the file cabinet. Keys are kept in a secure location, and access is logged.
Retention: Records are retained for a minimum of five years after the performer’s last appearance in content.
Method 2: Cloud Secured Server
Storage Method: Digital copies are stored on a cloud server.
Security Measures: The cloud server employs multi-factor authentication (MFA) for access. Data is encrypted both in transit and at rest. Regular security audits and updates are conducted to ensure data protection.
Maintenance: Digital records are reviewed and updated monthly. Backup procedures are in place to ensure data is not lost.
Access Control: Access is restricted to the compliance officer and authorized personnel. Detailed logs of access and changes to records are maintained.

Method 3: LTO Tapes Archive
Storage Method: Archived records are stored on Linear Tape-Open (LTO) tapes.
Security Measures: LTO tapes are kept in a climate-controlled, secure storage facility. The storage facility has access control measures, including surveillance cameras and alarm systems.
Maintenance: Tapes are periodically checked for data integrity. Tapes are cataloged and tracked for easy retrieval.
Access Control: Only authorized personnel have access to the LTO tapes. Access to the storage facility is logged and monitored.
Retention: Records on LTO tapes are retained indefinitely, with a minimum retention period of five years after the performer’s last appearance in content.
